How to mark a class register in 30 seconds

The default-present method. Everyone starts present, you mark only the exceptions, and the parents of absent children hear before first period. Works on paper and on a phone.

Most registers take ten minutes because the teacher calls forty names and writes forty ticks. Thirty-eight of those ticks say the same thing: present. There is a faster way, and it is more accurate, not less.

Start with everyone present

On Monday morning, 36 of your 40 children are in their seats. The register's job is to record the four who are not. So start from the assumption that everyone is here, and mark only the exceptions.

On paper: rule a column for the day, look at the empty desks, and write A beside those names only. Then a tick down the rest of the column in one movement. Under a minute.

On a phone in SchoolSpec: open the register and every child is already Present. Tap Absent or Late on the ones who are not here. Tap Save register. The button tells you how many parents will get an SMS before you tap it.

Why it is more accurate

When you call every name, you are relying on hearing "present, sir" from the right child. In a full class two children answer for a friend, one is in the toilet, and you lose the thread halfway down. When you mark exceptions, you look at the room. The empty desk cannot answer for anyone.

Late is not absent

A child who arrives at 8:20 is late, not absent. Keep the two apart, because they mean different things to a parent. An absence SMS to the mother of a child who is sitting in class ten minutes later is the fastest way to lose that parent's trust. In the app, Late is its own button and sends no absence SMS.

Tell the parents before first period

The whole point of a morning register is that someone can act on it. A child who left home in uniform and never arrived is a safety matter, and the time to know is 7:45, not 3:00. In SchoolSpec the absence SMS goes the moment the register is saved: "Ama was marked absent today at St Mary's. Contact the office if unexpected." One line. The parent who knows can ignore it; the parent who does not know calls the school.

What the head sees

On the head's home screen, each class shows a bar: marked, or not marked, with the teacher's name and a Remind button. That one screen ends the walk down the corridor asking who has done their register.

If the signal is gone

Teachers ask this first, and rightly. In SchoolSpec the register saves on the phone and says so: "Saved on this phone. It will send itself when the signal returns." When the phone finds the network, it sends, and the SMS goes then. Nothing is lost, and nothing is sent twice.

The whole thing, as steps

  1. Everyone starts present.
  2. Look at the empty desks. Mark Absent or Late on those children only.
  3. Save. Parents of absent children are told.
  4. Correct a mistake by tapping Edit; a correction never sends a second SMS.

Thirty seconds. Then teach.
